Question:

How Should I Best Manage My Business Cash Flow?

Answer:

Managing your cash flow effectively is crucial for the success of your business. Here are some essential tips to get you started:

Important Basics:

  1. Separate Business and Personal Finances: Ensure all business and personal expenses are kept separate.
  2. Track Revenues and Expenses: Monitor all your business revenues and expenses meticulously. If you’re just starting out, a spreadsheet can suffice (Google & Microsoft offer great templates!). For more advanced tracking, consider software like QuickBooks Online.
  3. Set Aside Money for Taxes: At a minimum, allocate funds specifically for taxes.

My Pro Tip:

I highly recommend using the Profit First Method, which involves setting up different buckets or envelopes to allocate your business revenues. This method helps ensure you have enough money set aside for business expenses, taxes, and your own pay, while also setting aside profit. Allocate your revenues monthly or bi-monthly into four categories: profit, tax, operating expenses, and owner’s pay. Here’s how:

Allocation Recommendations:

For businesses with gross revenues under $250,000:

• 5% – Profit
• 15% – Tax
• 30% – Operating Expenses
• 50% – Owner’s Pay

For businesses with revenues between $250,000 and $500,000:
• 10% – Profit
• 15% – Tax
• 40% – Operating Expenses
• 35% – Owner’s Pay

Final Tip:

If you’ve been in business for some time, it’s never too late to implement the Profit First Method. If your operating expenses are currently higher than the recommended targets, start by reducing your expenses by 1% each quarter or year. Remember, these are just targets—each business is unique, and your allocations may vary.
